Our team has to confess: we use AI for our work tasks. Not to “let the robot do the writing,” but to turn all the boring parts of content work into a system we can trust.
Once GPT-4 arrived, we stopped treating ChatGPT as a magic box but as a teammate with checklists, like voice guides, format skeletons, sourcepacks, and a few boring-but-reliable commands. The question turned from “Is AI better than humans at writing?” to “How do we plug AI into our process so humans can spend more time thinking and less time fiddling?”
After a few experiments (and plenty of failed prompts), we landed on a setup that lets us create outlines, drafts, and optimizations much faster. And all things considered, our team now performs 50% better thanks to AI without losing voice, accuracy, or control.
Here’s how we built AI-assisted content workflows and custom GPT-style bots so any teammate can go from brief to publishable draft without burning 15 hours on manual work and without losing quality.

- Use AI as part of a content system, not a replacement writer. Start with a “starter pack”: voice guide, examples, positioning/claims, format skeletons, and a focused sourcepack for each task.
- Let the model help draft its own instructions, then lock them into a tiny command set (for outlines, drafts, optimizations, and fact-checking) so teammates don’t have to reinvent prompts every time.
- Work skeleton-first: approve H1 + 3–5 H2s or carousel slides before drafting. Keep humans in charge of angles, interviews, sensitive claims, and final passes.
- Use a diagnose-and-patch loop when the bot drifts: point to the rule it ignored, update the system line, and regenerate instead of “prompt and pray” from scratch.
- Net result: a repeatable content workflow that cuts time on routine tasks roughly in half while keeping quality, accuracy, and tone consistent.

Our approach to making AI-enhanced writing work
Again, we don’t aim to “replace writers with LLMs.” We’re trying to streamline our work and make it easier and faster for any teammate to get enough info on the topic, an outline, and a draft without fiddling for hours. Same spirit as our workflow: keep quality, be honest about where AI helps and where it doesn’t, and don’t be lazy.
So when we say that the work with AI goes “well” it means that:
- We approve an outline first. If the angle and sections are right, the draft goes faster.
- The model never invents facts. If a claim needs proof, it tags it [NEED-SOURCE:?] and asks.
- Output matches our format skeletons (blog, carousel, optimizations) and ends with one CTA.
- “Win” = quicker outlines, fewer edits, cleaner first drafts, steadier voice. No “do the job for me, GPT.”
An obvious approach that you might think of is to start a new dialogue with ChatGPT and then give it some instructions down the road. While this method does work at first (and we ourselves tried training the LLM in that fashion), the longer you hold the dialogue, the higher chances of the model to start getting off the track.
That's why we recommend creating custom chatbots, if it's possible. Sure thing, you’ll need a GPT plus subscription but trust us it's well worth it. Here’s how the process typically looks like.
Step 1. Prepare the starter pack
This step includes you gathering the following docs:
- Voice guide + checklist (how we actually sound, with do/don’t lines and a few examples).
- Best content examples the LLM can study and mimic.
- Claims/Positioning (what we can/can’t say, preferred terms, and links we trust).
- Formats (also known as outline skeletons) (blog (H1 + 3–5 H2s), carousel (9–12 slides, word caps), optimization checklist).
- Sourcepack (the brief + links for a specific task only, don't try creating a bot that does all the creative heavy lifting at once.
Why this order? Because AI behaves best when the task is bounded and the rules are visible. In software engineering, we learned the same lesson: put conventions and constraints up front, and you get fewer surprises later. We’re borrowing that discipline for writing.
How we attach it (simple ritual): upload the four items, then ask the bot to confirm ingestion and list 5–7 rules it will follow. This keeps non-tech collaborators safe from “mystery drift.”
Step 2. Let the model draft its own instructions (prompt-to-prompt)
Cold starts are where people overthink. So let's cheat a bit here:
Paste a short request:
“You are my prompt engineer… draft a 300-word system instruction for our content bot that (a) refuses to write until files are loaded, (b) never invents facts, (c) asks clarifying questions, (d) follows our skeletons exactly, (e) flags claims that need sources, and (f) includes a troubleshooting paragraph to self-correct when results feel off.”
Edit lightly, keep it short. Save as System Instruction v1 (you will later enhance it).
This mirrors how we bootstrapped the case-study bot: describe the problem, let the LLM write the rules, then iterate. It works, and it’s non-tech friendly.
Step 3. Work skeleton-first (speed comes from structure)
We never jump straight to long form. First, we need to make the bot prepare an outline using the examples we gave it earlier. Here are some of the suggestions that you should ask to get new content:
Blogs: ask for H1 + 3-5 H2s + bullets (no prose). Tighten flow. Only then hit “Draft.”
Carousels: ask for 9-12 slides, line caps enforced, plus 3 alternate hooks. Approve, then: “Draft.”
Optimizations: hand the draft to the bot with the rule: “Preserve meaning; cut filler; fix hedging; add/verify sources; propose better headings; output redline diff + clean final.”
This is exactly how the case study bot flow mentioned above stayed predictable: skeleton → instruction → examples → team instructions.
Step 4. Keep a tiny command set (so teammates don’t wander)
Here comes some technical stuff, but nothing too complicated. Treat the following command set as something that would keep the bot on track instead of having it hallucinate and give unpredictable results from one session to the next:
CONFIRM_INGEST — “Read files and list 5–7 rules you’ll follow. Ask up to 5 clarifying questions.”
SKELETON_BLOG / _CAROUSEL — “Outline only; enforce caps.”
DRAFT_BLOG / _CAROUSEL — “Full draft with sources [S1..]. End with one CTA.”
OPTIMIZE_DRAFT — “Redline + clean final. Don’t change meaning.”
FACT_CHECK_PASS — “Tag unsupported claims [NEED-SOURCE:?]; list sources.”
The pattern is boring on purpose. Boring scales. (And if anything feels off, we use the patch loop below.)
Step 5. The “diagnose-and-patch” loop (when the bot slips)
Just like any other software, chatbots require maintenance. Otherwise, they will eventually start to decay and hallucinate. That's when we open the testing phase and tell the bot what it missed and make it fix itself:

“DIAGNOSE_AND_PATCH - identify what missed (voice, structure, claims, clarity), point to the ignored rule/file, rewrite the relevant line of your system instruction, ask for any missing artifacts, and regenerate the last output using the patched rule.”
Step 6. Human-in-the-loop (the guardrails that matter)
So when are humans needed? Whenever thinking is involved. The bot’s goal is to automate repetitive tasks, but anything creative and thinking-involved belongs to humans. Angle and outline finalization, for example, are human decisions. We still pick the hook and flow and interview subject-matter experts to gather enough expert information for our blog articles.
Claims get a human glance before publishing, especially numbers and “we did X%” lines. Because we can't tell our clients achieved or did something they actually didn't, you know.
The final pass also belongs to humans. And apart from that we also think of content repurposing because if the blog article is really good why not turn it into a LinkedIn post, especially if we have a bot ready for the task?
This mirrors the “quality stack” from software engineering – standards in prompts, self-check, quick lint, and a human pass. We’re just translating that stack to content work.
How does all of this affect our team's workflow?
Chatbots didn't become our main workforce, but they are the ones to blame for the 50% improvement in speed our team managed to achieve. It took us time to come up with our own approach, and there are still many things we don't want to get bots-driven, like interviewing and critical thinking (bots aren't good at those). But despite all the AI bubble speculations, we can't deny AI being very useful.
Before AI, studying a new topic was quite frustrating, and it took our team a fair share of time. But now, topic research doesn't take a whole day, and it's beautiful.

Bottom line: we didn't become AI-dependent but rather more time-efficient. We still work in the field, talking to clients, and when we have a full pack of notes and ideas, chatbots are there to help us put them together.
It's easy to make AI your muppet and have it write your content, but no one will read it. So do the thing humans do the best: communicate and think. That's how you create great content with unique POV humans will like, and so will AI, because in the end, it still has to learn new things.
